Qualifications
  • High school plus specialized, short-term training in Medical Terminology. Advanced computer skills with the ability to type 45 WPM. More than 2 yrs experience as a Scheduler.
  • Education: High School Diploma or GED

Responsibilities
  • Provide reception duties in the Scheduling area. Answer phone calls timely and respond according to need. Triage phone calls to appropriate scheduler or staff member, avoiding putting the customer on-hold . Distributes mail.

  • Schedule procedures and patient visits using the Pathway Surgical Manager information system, and in accordance with the scheduling rules and guidelines written by the Scheduling Policy Committee, in collaboration with the directors of the CVL department, the program director.

  • Enter post-case data accurately and timely into PSM. Incomplete CVL records must be returned to the unit for completion and returned for entry immediately

  • Schedules procedures/visits for all sites that the CVL Scheduling is responsible for.

  • Adjust and consolidate schedule across all sites to maximize efficiency, in collaboration with supervising coordinator, CVL Manager, and the Lead Techs in the CVL department.

  • In collaboration with the Supervising Coordinator and/or CVL Manager, assist with statistics generation.

  • Maintain the Clinical Privilege notebook in collaboration with the Office of Medical Staff Affairs.

  • Serves as trainer, mentor and resource to new employees in department.

  • Confirms scheduled procedures/appointments for the next day with physician offices and clinical sites

  • In collaboration with the CVL Manager, generate statistics.

  • Participates in interviews for potential new hires.

  • Assists the CVL Manager, and Lead Techs, as needed, with developing and maintaining staff work schedules and Timecare.

  • Serves as a liaison to the CVL Department and physician offices.

  • Resolves and assists Lead Techs and/or Supervising Coordinator in the resolution of scheduling problems and conflicts.

  • Serves as a role model for professional behavior and technical skills.
